Product Overview Progen2 (often called 'P2') was designed for property managers & owners. It is in widespread use by owners of commercial buildings and large shopping centres. The design of the software is so flexible that an agent managing properties, or property managers running Trusts, can easily and successfully use the software. However, most users are building owners, who take advantage of the full power of an integrated database and accounting suite.
Progen2 links leases to buildings, and allows a series of charges and a number of 'floors' and 'suites' or offices to be associated with the leases. Thus the ability to handle multiple suites and multiple charges per suite gives the user great flexibility in fully setting up and automating lease charging. In addition, the lease section of Progen2 includes a user definable and flexible diary, lease contact details, insurance details, bank details, unlimited notes, retail sales figures and various flags that allow the user to stop charges, and denote a vacated or left area. Turnover rental transactions and retail reports are a specialty. Tenant interest charges are also available.
The Outgoings Reconciliation Module allows users of Progen2 to 'on charge' various expenses of the building back to the tenant. This 'on charging' can be done by as many Charts of Account as required for each tenant, so, for instance, Tenant A may be paying 15% of electricity bills, 10% of the lift maintenance, and 6% of the cleaning bill. As creditor bills come in for the relevant Charts of Account, the system tags them, and can then calculate what it thinks needs to be on-charged to each tenant. These proposed new charges can be viewed in a report, for checking. Once the user is happy with this report, they can then save the new charges to be raised, which are then raised as Tenant Invoices. Some studies have shown that automated on charging, like this function in Progen2, can recoup as much as 10% more of expenses than manual systems.
Progen2 has extremely powerful reporting options. For example: the Aged Trial Balance is a critical report in the Progen2 software. This is why there are many ways of running this report, to give users greater flexibility. For instance, it can be run for one Tenant, of a range of tenants, or for one Building, or a range of buildings. It can be run back in time, to see what the Aged Trial Balance was at a certain date, say 30/6/01, for instance. It can also exclude recent changes you may have made to older transactions if desired. It can also be run as a summary or in full detail, with complete 'drill down' on all individual transactions. The report can also exclude or include future transactions, notes, left tenants, and be sorted by various means. In short, any subset of transactions can be produced, giving the user complete flexibility.
Progen2 features an easy-to-use Bank Reconciliation Module, allowing users to reconcile all activity to the Bank Statement, and features friendly reports to help users resolve any issues that may appear. Previous Bank Reconciliations can also be reviewed if desired, and a full record of adjustments is available.
